AI for law firms, accounting firms and advisory practices

Vantage Systems builds artificial intelligence (AI) intake, call handling and document systems for law firms, accounting firms and advisory practices. The systems capture and organize information for your professionals; they never give legal or tax advice, and an attorney or accountant reviews every output that reaches a client or a court.

Key facts

Who it is for
Plaintiff and defense litigation firms, multi-office practices, and accounting and advisory firms with a real intake or document load.
Integrates with
Practice management systems such as Clio, Filevine and Litify, document management such as NetDocuments and iManage, and your phone system.
Ground rules
No legal advice, conflicts cleared before engagement, privileged material limited to the matter team.

Three problems we hear from legal and professional services operators

  • Potential clients call once

Someone injured on a Friday evening calls three firms and signs with whichever one answers and follows up first. A missed call or a voicemail box is a lost matter.

  • Intake staff qualify the same way all day

Every new inquiry needs the same questions about incident date, jurisdiction, parties and damages before an attorney looks at it. Good cases wait behind poor fits because the screening is manual.

  • Associates and staff reread the file

Medical records, discovery productions, engagement documents and client tax packets arrive in volume, and billable people spend hours indexing them before any judgment work starts.

How are conflicts checks and privilege handled?

Conflicts and privilege are designed in from the first discovery session rather than reviewed at the end. The intake flow collects adverse party names and related entities early, runs them against your conflicts database or sends them to the person who does, and holds the matter until it clears.

Privileged and confidential material stays in the region agreed with you, with access set by matter team. We document which model provider processes what, under which contract terms, so your general counsel and ethics partner can approve the arrangement before any client data moves.

  • Adverse parties captured at intake and checked before engagement
  • Matter-level access, so a screened lawyer never sees a walled-off file
  • Every agent output stored with its source documents for attorney review

What does AI do for accounting and advisory firms?

For accounting and advisory firms, AI mostly removes the chase and the sort. An agent requests missing documents from clients, reads what arrives, files it to the right engagement and tells the preparer what is still outstanding, so the busy season is spent reviewing rather than collecting.

Partners also want a clear view of the practice: realization, work in progress, engagement status and capacity by team. An operational dashboard built on your practice management and billing data shows that without a monthly spreadsheet exercise.

What we build for firms

  • Intake voice agent

Answers every line, screens new matters with your questions, books consultations and transfers hot inquiries to intake staff.

  • Intake qualification agent

Scores each inquiry, flags conflicts information and possible deadline dates for attorney review, and opens the lead in Clio, Filevine or Litify.

  • Document chronology agent

Reads medical records and productions, builds a dated chronology with page citations, and leaves every conclusion to the attorney.

  • Client document collection

Requests, receives and files client documents for tax and advisory engagements, and tracks what is missing per client.

  • Firm performance dashboard

Intake conversion by source, matter pipeline, realization and capacity by office for managing partners.

How an engagement works

  1. Learn from intake and the partners

We listen to intake calls, read your screening criteria and learn where conflicts, privilege and ethics rules shape the workflow.

  2. Agree the guardrails

We put in writing what the system may say, what it must route to a lawyer, and the fixed scope and price of the first phase.

  3. Build with attorney review

Your attorneys test the scripts and outputs on real but sanitized matters every week and approve each change before launch.

  4. Launch on one practice group

We go live with one practice group or office, then extend, and we keep running and maintaining the system afterward.

Frequently asked questions

Does the AI give legal advice to callers?

No. It collects facts, explains the next step and states that it cannot give legal advice. Any question that calls for a legal opinion is routed to an attorney.

Who reviews what the AI produces?

Your attorneys and accountants. Summaries, chronologies and qualification scores are drafts for a professional to review, and each one links back to the source pages so the review is quick.

Can it run our conflicts check?

It can collect the names and submit them to your conflicts system or conflicts team, and hold the matter until it clears. The clearance decision stays with the firm.

Which practice management systems do you integrate with?

We work with the system you run, including Clio, Filevine and Litify, and with document management platforms such as NetDocuments and iManage, through the integrations each vendor supports.

Which matters should we use to test the intake agent?

A mix of recent inquiries your firm accepted, declined and referred out. Running the screening questions against those shows where the criteria are clear, where attorneys disagree, and which answers should send a caller straight to intake staff.

Is client data used to train AI models?

No. Nothing your firm or its clients put into the systems we build, privileged material included, is used to train AI models.

Do you work with firms outside personal injury?

Yes. Employment, immigration, family, estate planning and business litigation firms all have intake and document volume. Accounting and advisory firms use the same building blocks for engagement intake and document collection.
