Logistics and distribution

AI for logistics providers, distributors and freight operators

Vantage Systems builds artificial intelligence (AI) systems for distributors, third-party logistics providers, freight brokers and private fleets. Document agents read bills of lading, rate confirmations, carrier invoices and proof of delivery paperwork so nobody retypes them, and operations dashboards join warehouse, transport and finance data into one live view of service and cost.

Key facts

Who it is for
Distribution and logistics operators moving enough freight that document handling and exception chasing have become a department.
Integrates with
Your warehouse management system (WMS), transportation management system (TMS), electronic data interchange (EDI) feeds, telematics and accounting.
Typical first phase
One document flow, such as carrier invoice matching, or one dashboard covering service and cost by customer.
Data handling
Shipment, customer and rate data stay in the region agreed with you.

Three problems we hear from logistics and distribution operators

  • Freight paperwork is still keyed by hand

Bills of lading, delivery receipts, lumper slips and carrier invoices arrive as photos, scans and email attachments. A back-office team types them into the transport system, and every keying error becomes a billing dispute later.

  • Carrier invoices get paid without a real audit

Detention, layover and other accessorial charges show up on invoices that nobody has time to match against the rate confirmation and the driver's timestamps. Overcharges get paid because checking them costs more than the charge.

  • Customers see the exception before you do

A late inbound container or a short-shipped order shows up first in the customer's email. Warehouse and transport teams each have part of the picture, but nobody owns one view of orders at risk today.

Which logistics documents can AI process today?

Most of the paper that moves with freight. Our freight document agents read bills of lading, rate confirmations, delivery receipts, packing lists, commercial invoices and carrier invoices, extract the fields your systems need and match them to the load or order.

The useful part is the matching, not the reading. The agent compares the carrier invoice to the rate confirmation and to the arrival and departure times, approves clean invoices, and queues disputed accessorials with the evidence attached for an auditor to decide.

  • Proof of delivery captured and attached to the invoice the same day
  • Short, over and damaged notations flagged for claims
  • Customs paperwork checked for missing fields before it goes to the broker

What should a logistics operations dashboard show first?

Orders and loads at risk today, ranked by customer impact. An operational dashboard for logistics combines the WMS, TMS and telematics into one list of late pickups, short picks, missed appointments and dock congestion, so supervisors act before the customer calls.

Leadership then needs service and cost by customer and lane: on-time in-full, cost per order, claims and accessorial spend. Those numbers only agree if the underlying data is joined once, which is why many phases start with data infrastructure. Our article on getting the data layer right before AI explains why.

Should we build this or buy a logistics software add-on?

Buy when an add-on to your transport or warehouse platform already handles your document types and customer rules. Build when your contracts, customer requirements or system mix are unusual enough that every packaged tool needs a manual workaround, which is common for operators that grew by acquisition. See build versus buy for AI agents for the trade-offs.

What we build for logistics and distribution

  • Freight document agent

Reads and classifies every shipping document, extracts the fields and attaches them to the right load or order.

  • Carrier invoice audit

Matches each invoice to the rate confirmation and event times, and prepares disputes with evidence.

  • Exceptions board

One live list of loads and orders at risk across warehouse and transport systems, with an owner on each.

  • Customer service and cost dashboard

Service, cost and claims by customer, lane and site, for account reviews and pricing decisions.

  • Shipment status voice agent

An AI voice agent that answers where-is-my-order calls from the transport system and routes real problems to a person.

How an engagement works

  1. Pull a month of paperwork

We sample real documents and invoices from your carriers and customers to see the formats and the errors you actually face.

  2. Fix one flow, fixed price

The first phase targets one document flow or one dashboard, scoped and priced before work begins.

  3. Run in parallel with the team

The agent processes documents alongside your staff, and we compare results line by line until you trust it.

  4. Hand over volume and keep it tuned

Clean documents flow straight through, exceptions go to people, and we maintain it as carriers and formats change.

Frequently asked questions

Can the agent read handwritten delivery receipts?

Often, yes. Driver photos and scans go through optical character recognition (OCR) and an extraction step checked against samples of your own paperwork, and anything below a confidence threshold goes to a person instead of the system.

Does this replace our EDI connections?

No. Electronic feeds stay where they work. The agent covers the documents that still arrive as images, scans and attachments outside those feeds.

Which warehouse and transport systems do you work with?

Any system with an application programming interface (API), a database we can read or a dependable export. We confirm access during discovery before committing to a scope.

How do you handle disputed accessorial charges?

The agent prepares the case and a person decides. It attaches the rate confirmation, timestamps and any notes, so your auditor approves or disputes in minutes instead of rebuilding the history.

Is this relevant for a private fleet, not just brokers?

Yes. Private fleets carry the same delivery paperwork and cost questions, and the dashboard can cover routes, stops and cost per delivery from telematics and dispatch data.

Can we start without cleaning up all our data?

Yes. We clean only what the first phase needs and build the rest of the data layer as later phases require it.

Built for operators with real scale. Most engagements are scoped in the tens of thousands of dollars and up.
