Construction and engineering

AI for construction companies and engineering groups

Vantage Systems builds artificial intelligence (AI) systems for general contractors, specialty contractors, engineering firms and holding companies with construction arms. A tender agent reads every document in a bid package and lists what the bid requires, and an operations dashboard shows projects, contract value, billing, collections, equipment and crews in one place.

Key facts

Who it is for
Contractors and engineering groups bidding public and private work, often across several business units or countries.
Typical first phase
A tender agent for the bid team, or one operations view built from the systems you already run.
Integrates with
Accounting and enterprise resource planning (ERP) systems, Procore, Primavera P6, document stores and equipment telematics.
Where it runs
United States and Gulf deployments, with client data kept in the region agreed with you.

Three problems we hear from construction and engineering operators

  • Senior people spend days reading tender packages

A government tender can arrive as hundreds of files: specifications, drawings, bills of quantities, contract conditions and addenda. Estimators and directors read it all just to decide bid or no-bid, and a missed bond or prequalification requirement can disqualify months of work.

  • Nobody sees cash by project until month end

Contract value, earned value, billed and collected amounts sit in different spreadsheets owned by different people. Leadership learns a project is underbilled or a payment is stuck long after it could have been chased.

  • Equipment and crews are allocated by phone

Which excavator is idle, which crew can move next week and which site is short of labor are answered by calling three superintendents. Rentals get booked while owned equipment sits in the yard.

Can AI read a full tender package reliably?

Yes, if it is built to show its sources. Our tender and request for proposal (RFP) analysis agent reads every file in the package, including scanned drawings and appendices, and returns a checklist of required documents, bonds, certifications, deadlines and evaluation criteria, each linked to the page it came from.

Estimators still decide whether to bid. The agent removes the reading, not the judgment, and our article on AI for tender and RFP analysis covers how bid teams check its work during the first weeks.

What should a construction dashboard actually show?

It should show money and capacity by project, not a wall of charts. An operational dashboard for construction reconciles contract value, earned, billed and collected per project, so underbilling, overbilling and slow payers are visible every morning.

The same view should carry equipment and crews, because a project's margin depends on both. Pulling those into one place usually means building a data layer across accounting, scheduling and fleet systems first, which we scope as part of the phase.

  • Backlog, awarded work and pipeline by business unit
  • Earned against billed against collected, per project
  • Change orders submitted, approved and still pending
  • Equipment location and utilization, crew assignment by site

What we build for contractors and engineering firms

  • Tender agent

A quick check by default and a full bid brief on demand, with every requirement traced to its source page.

  • Projects and money dashboard

Contract value, earned, billed and collected for every project, rolled up by division for leadership.

  • Equipment and crew view

Where each machine and crew is, what it is assigned to and what frees up next.

  • Pursuit and client CRM

A custom CRM (Customer Relationship Management) system for construction that tracks prequalifications, upcoming tenders, owner contacts and bid outcomes.

  • Change order and correspondence agent

Reads contract correspondence and site instructions, then drafts change order notices before the contractual deadline passes.

LiveSaudi holding company, Saudi Arabia

Example: a tender agent and operations platform for a Saudi holding company

A Saudi holding company bids on government tenders that arrive as large document packages, and senior staff used to read each one to decide whether to bid. We built a tender agent that reads every file and lists exactly what a bid needs, with a quick check by default and a full brief on demand. Beside it sits an operations dashboard for projects, money, equipment and crews. Both are live and used by leadership.

How an engagement works

  1. Work through bids with the project teams

Discovery covers recent tenders, live projects and the reports leadership asks for, so we know which questions take longest to answer.

  2. Scope one system and fix its price

Usually the tender agent or the projects and money view, agreed as a fixed scope and fixed price.

  3. Test on past tenders and closed projects

We run the agent on tenders you already bid and reconcile dashboard figures against audited numbers before go-live.

  4. Go live and keep it current

We run the system after launch, add business units and adjust as contract forms and reporting needs change.

Frequently asked questions

Does the tender agent work with Arabic tender documents?

Yes. It reads Arabic and English documents and produces the checklist in the language your bid team prefers. Each checklist item cites the file and page it came from, so an Arabic-reading member of your team can confirm it against the original.

Can it handle scanned drawings and stamped forms?

Yes. Scanned pages go through optical character recognition (OCR) first, and anything the agent cannot read with confidence is flagged rather than guessed.

Do we need to replace Procore or our accounting system?

No. We read from the tools you already run and build the views and agents on top, so project managers keep working the way they do today.

Where is our data kept?

In the region agreed with you, and it stays there. Our Saudi Arabia page covers the local requirements contractors bidding there should raise with their counsel.

How long before the bid team trusts the agent?

Trust comes from checking it against tenders you have already bid. We run that comparison before go-live so estimators see exactly what it catches and what it flags for a human.

Can the dashboard cover several companies in a group?

Yes. Holding companies often need each operating company on its own terms plus one consolidated view, and we design the data model for both from the start.

Built for operators with real scale. Most engagements are scoped in the tens of thousands of dollars and up.
