Saudi Arabia, our home base in the Gulf

AI company in Saudi Arabia for holding groups, government contractors and industry

Vantage Systems is an artificial intelligence (AI) engineering firm with Saudi Arabia as its home base in the Gulf, building tender agents, operations dashboards, voice agents and custom CRM (Customer Relationship Management) systems for Saudi holding companies, government contractors and industrial operators. Our live system for a Saudi holding company reads government tender packages and runs its operations from one screen; every Saudi build is designed around the Personal Data Protection Law (PDPL), with client data kept in the region agreed with the client.

Key facts

Home base
Saudi Arabia is our home base in the Gulf, with systems already in production in the Kingdom.
Working week
Standing meetings and weekly demos run Sunday to Thursday on Arabia Standard Time.
Languages
Delivered in English and Arabic. Systems read and write documents in both languages.
Data handling
Kept in the region agreed with each Saudi client.

Which Saudi rules shape an AI build?

Three rulebooks shape almost every Saudi system: personal data, electronic invoicing and cybersecurity. The PDPL came into force on 14 September 2023 and became fully enforceable a year later, and the Saudi Data and Artificial Intelligence Authority (SDAIA) is the regulator that issues its implementing regulations and its separate rules on transferring personal data outside the Kingdom.

Invoicing comes next. The Zakat, Tax and Customs Authority (ZATCA) e-invoicing program, called Fatoora, began with a generation phase in December 2021 that ended handwritten invoices, then an integration phase rolled out in waves from January 2023 that connects invoicing systems directly to the authority's platform. Any CRM we build for a Saudi company respects that connection rather than working around it.

Government and government-affiliated clients add the National Cybersecurity Authority (NCA) controls, their own data classification, and the national data localization rules, which together decide whether the system must be hosted inside Saudi Arabia.

Which Saudi businesses get the most from AI first?

Vision 2030 programs have brought a large pipeline of public tenders, giga-project packages and new industrial capacity, so the companies carrying the heaviest document load per deal gain first.

  • Holding companies in Riyadh that want one view of their contracting, trading and services divisions.
  • Government contractors bidding through Etimad, the Ministry of Finance procurement platform, who need tender analysis before senior staff commit a week to a bid.
  • Plants and industrial service firms around Jubail, Dammam and Al Khobar in the Eastern Province, where an unplanned stop costs more than any software.
  • Trading houses, importers and hospitality groups in Jeddah, where shipping papers and guest calls arrive in two languages.

Can the team work in Arabic as well as English?

Yes. Our founder, Mohamed El Askary, is natively bilingual in English and Arabic, so a discovery session can switch languages without a translator. Tender booklets and supplier letters often mix both languages in one file, and our agents read either.

Language also shapes the data model. One supplier often appears under several Arabic and English spellings, so a dashboard or CRM needs one record per company with every spelling attached.

What we build for Saudi companies

  • Tender agent for government bids

Reads the conditions booklet, bill of quantities, specifications and drawings in a tender package and lists exactly what the bid needs, with a full brief on request.

  • Group operations dashboard

Contract value, earned, billed and collected by project, next to equipment and crew status, refreshed from the systems your divisions already use.

  • Voice agents for busy lines

An AI voice agent that answers, books, qualifies and transfers calls, with a written summary of each one.

  • Custom CRM with clean invoicing handoff

A custom CRM built around your stages, approvals and Fatoora-connected billing, instead of a foreign template bent to fit.

  • Shared data layer

Pipelines and storage that join finance, project and field data once, kept in the agreed region and reused by every later model.

Example: a Saudi holding company's tender agent and operations view

At a Saudi holding company, senior staff read each government tender package end to end before deciding whether to bid, while project, money, equipment and crew data sat in separate places. We built a tender agent that reads every file in the package and lists what a bid requires, a quick check by default and a full brief on demand, and an operations dashboard covering projects, money, equipment and crews. It is live and used by leadership.

How an engagement works

  1. Discovery with the people who run it

Sessions in Arabic or English with leadership and the staff who handle tenders, invoices or dispatch, starting from real files.

  2. Fixed scope, fixed price per phase

Each phase is priced before work starts, with the data region, data classification and invoicing integration written into the scope.

  3. Working software every week

A demo on a Sunday to Thursday slot each week, on your own documents and data, so leadership sees progress instead of reports about it.

  4. Run and maintain after launch

After go-live we monitor, retrain and fix it, and the engineer who built it answers the phone.

Frequently asked questions

Is Vantage Systems based in Saudi Arabia?

Saudi Arabia is our home base in the Gulf, and our live tender and operations system for a Saudi holding company runs in the Kingdom. Mohamed El Askary reads each Saudi inquiry himself and answers within one business day.

Where will our data be kept?

In the region agreed with you before the build. Your data classification, the national data localization rules and the PDPL rules on transfers abroad all feed that decision, and the design follows whatever it requires.

Do you integrate with ZATCA e-invoicing?

Yes, through the invoicing solution you use or one we connect. Once a company's integration wave applies, invoices must flow through a solution connected to Fatoora, so a system we build either issues invoices that way or passes the sale to your connected billing system, never around it.

Can the tender agent read Arabic tender documents?

Yes. It reads Arabic, English and mixed-language files in the same package, and writes the checklist in whichever language the bid team uses.

Which industries do you serve in the Kingdom?

Holding companies, government contractors, builders, energy operators and trading houses. Our guide to AI in Saudi Arabia covers where each starts.

How are Saudi engagements priced?

In phases, each with a fixed scope and a fixed price agreed before work starts, with the data region and regulatory design settled in the first phase. See how pricing works.

Built for operators with real scale. Most engagements are scoped in the tens of thousands of dollars and up.
