Dashboards for healthcare groups: scheduling, collections and provider productivity by location

Vantage Systems builds dashboards for healthcare groups that show schedule utilization, no-shows and cancellations, collections, provider productivity and new patient flow for every location on one screen. They cover the business side of the practice only, drawing on your scheduling, practice management and billing systems, and they make no clinical judgments.

What does a multi-location practice actually need to see?

Where appointment capacity is going unused and where money is stuck. A group with a dozen clinics usually has those answers spread across a practice management system, a billing vendor's portal and a stack of location spreadsheets. The dashboard joins them by location, provider and day, so an operations director sees the gaps without asking each office manager.

  • Schedule utilization: booked minutes against available template minutes, by provider and location.
  • No-show and cancellation tracking: same-day cancellations, late cancellations and no-shows, with how many freed slots were rebooked.
  • Collections: charges, payments and adjustments by payer, with days in accounts receivable and denial reasons from billing.
  • Provider productivity: visits, scheduled hours and collections per provider, compared within the same specialty and location type.
  • New patient flow: referrals and new patient requests through to the first appointment, with the time each step took.

How is patient information protected?

The dashboard is designed for the Health Insurance Portability and Accountability Act (HIPAA) requirements from the first diagram: minimum necessary data, role-based access controls and audit logs. Most screens work on counts and amounts rather than individual records, and where a manager needs a list of appointments, that access is limited and logged.

Which practice systems does it read from?

Your practice management and scheduling platform, your billing or revenue cycle vendor, and the phone system when call handling is part of the question. Common sources include athenahealth, eClinicalWorks, NextGen Healthcare and Tebra, through their reporting exports or interfaces. When no-shows trace back to unanswered phones, our voice agents for healthcare groups take scheduling calls, and our healthcare groups page covers the wider picture.

What we build for healthcare groups

  • Location scorecard

Each clinic's utilization, cancellations, collections and new patient volume, with the group average beside it.

  • Schedule gap finder

Open template slots for the coming two weeks by provider, so front desks can fill them from waitlists before the day arrives.

  • Billing follow-up board

Claims denied, unpaid or underpaid, grouped by payer and reason for the billing team to work.

  • Owner and partner summary

A monthly page for owners built from the same data as the daily screens, with no hand-entered figures.

How an engagement works

  1. Map how each location counts

We work with operations, billing and two office managers to agree how a slot, a visit and a collection are counted at every location.

  2. Connect with the minimum data

Feeds from scheduling and billing carry only the fields the agreed screens need, and access rules are written before any data moves.

  3. Test with office managers

Location leads use the screens for a few weeks, and we correct anything that does not match what they see in the practice.

  4. Roll out across the group

All locations go live, new clinics are added as you open or acquire them, and we maintain the feeds.

Frequently asked questions

Does the dashboard show clinical outcomes?

No. It is limited to operations: scheduling, attendance, billing and productivity. Clinical quality measures stay in your clinical systems and with your clinical leadership.

Can it compare providers fairly?

Yes, when the comparison is set up with care. Providers are compared within the same specialty, visit mix and scheduled hours, and part-time providers are measured per scheduled hour rather than per month.

Does it work for a group that is still acquiring practices?

Yes. Each acquired practice is mapped to the group's definitions even if it keeps its old practice management system for a while, which often gives a new owner the first clear view of that clinic.

Does the dashboard need patient names?

Usually not. Most measures are built from appointment, charge and payment records with identifiers removed or masked, and named lists are limited to roles that already see them in the practice management system.

Where is the data hosted?

In the region agreed with your group, with the access controls and logging described above. Patient data is never used to train artificial intelligence models. Discovery is the time to raise your own security review and vendor questionnaire, so the design answers them from the start.

What does a first phase deliver?

A working location scorecard for your pilot clinics, connected to real scheduling and billing data. Scope and price are fixed per phase, and you can start a conversation with a list of the systems you run.

Built for operators with real scale. Most engagements are scoped in the tens of thousands of dollars and up.
