Voice agents for residential portfolios

An AI voice agent for property management that triages maintenance and books showings

Vantage Systems builds AI (artificial intelligence) voice agents for property management companies that take maintenance requests, separate a burst pipe from a dripping faucet, and book leasing showings around the clock. Each request lands as a work order in Yardi, AppFolio or Entrata with the resident's own words, the unit and a priority, so your maintenance coordinator starts the morning with a sorted queue.

Key facts

What it is
A phone agent that answers resident, prospect and owner calls, creates work orders and books tours.
Who it is for
Third-party and owner-operator managers running multifamily, single-family and mixed portfolios.
Integrates with
Yardi, AppFolio or Entrata, your approved vendor list, the leasing calendar and your after-hours escalation contacts.

How does the agent tell a real emergency from a routine request?

It asks the questions your best after-hours coordinator would, in the same order. Is water coming through a ceiling or spreading across the floor? Can the resident reach the shutoff valve? Is someone locked out with a child or medication inside? Answers that meet your emergency criteria start the escalation chain at once, and everything else becomes a scheduled work order.

For an active leak, the agent can talk the resident through finding the shutoff, then call the on-call maintenance technician or your emergency plumbing vendor and stay on until someone accepts. Lockouts follow your policy, whether that means a fee, an approved locksmith or a staff callback once identity is confirmed. The agent never reads out door codes or lockbox combinations.

What does it do with leasing calls?

It answers what prospects want to know before they tour: availability, rent range for a floor plan, pet policy, parking and move-in dates. Those answers come from your current listings and policy sheet, not from the model's guesses, and anything outside that set goes to a leasing agent.

Every prospect gets the same answer to the same question, which matters under fair housing rules. The agent does not describe a neighborhood by who lives there or steer anyone toward or away from a unit. When the prospect is ready, it books a guided or self-guided tour on the leasing calendar and texts the confirmation.

Will it create work orders in Yardi, AppFolio or Entrata?

Yes, through whichever integration route your product and subscription support, and those differ. Where a direct connection is not open to you, requests go to an intake queue your team approves into the system with one click, and we tell you which route applies before the build starts.

Each work order carries the unit, the category, the resident's description, permission to enter and pet notes. When a portfolio also needs lease terms pulled from documents, our lease abstraction agent works from the same records, and the property management industry page covers reporting across the portfolio.

What we build for property managers

  • Emergency triage scripts

Your definitions of an emergency, by property where they differ, with escalation to on-call staff and approved vendors.

  • Work order intake

Structured requests written into your property management software with access notes and permission to enter.

  • Leasing line

Consistent answers from current listings and policies for every caller, with tours booked on the leasing calendar.

  • Owner and vendor routing

Owners, vendors and residents recognized by number and sent to the right person with a call summary attached.

How an engagement works

  1. Map your call types

We sort a few weeks of recordings or call logs into maintenance, leasing, owner, vendor and everything else, property by property.

  2. Write the triage rules

Your maintenance director signs off on what counts as an emergency, who gets called and in what order.

  3. Connect and stage test calls

We connect your property software and leasing calendar, then stage leaks, lockouts and tour requests against the agent.

  4. Go live portfolio by portfolio

After-hours calls on a handful of properties come first, every summary gets reviewed with your team, and coverage widens from there.

Frequently asked questions

What should we decide before the build starts?

Three things: what counts as an emergency at each property, the order of your after-hours contacts and vendors, and which integration route your property software allows. Settling those in discovery is what lets the first phase carry a fixed scope.

Does it replace our after-hours answering service?

It can. A message-taking service leaves notes in an inbox, while the agent creates the work order itself and follows your escalation chain overnight. Our comparison of an AI voice agent and an answering service walks through the tradeoffs, and some managers keep a human service as backup for the first months.

Will it discuss rent balances or notices?

Not by default. Balances, payment plans and anything touching a notice or legal process go to staff. The agent can send the payment portal link by text message.

What if a resident calls about the same leak twice?

It checks open work orders for the unit first. If one exists, it adds the new details to that order and raises the priority when things have worsened, rather than opening a duplicate.

What does a first phase usually cover?

After-hours maintenance intake on a set of properties, at a fixed price. Leasing and owner lines follow once the triage rules have been through real nights.

Built for operators with real scale. Most engagements are scoped in the tens of thousands of dollars and up.
