AI lease abstraction for commercial portfolios

Vantage Systems builds artificial intelligence (AI) lease abstraction agents that read commercial leases, amendments and side letters and turn them into a structured abstract of rent steps, options, critical dates and common area maintenance terms. Every field cites the clause it came from, and approved abstracts sync to your property management system.

What goes into a lease abstract?

Everything an asset manager or property accountant needs without opening the lease. The agent reads the original lease and every amendment in date order, so the abstract reflects the lease as amended rather than as first signed.

  • Parties, premises, rentable square footage, commencement and expiration dates
  • Base rent schedule with each step, free rent periods and percentage rent terms
  • Renewal, expansion, contraction, termination and right of first refusal options, with their notice windows
  • Common area maintenance, tax and insurance recovery terms, including caps, exclusions, base years and pro rata share
  • Security deposits, letters of credit, guaranties, assignment and subletting rights, co-tenancy and exclusive use clauses

How does it keep critical dates from being missed?

Each option and notice period becomes a dated event with the exact clause attached. A renewal that must be exercised by written notice a set number of months before expiration is converted to a calendar date, and the lease manager is reminded well ahead of it. Dates that depend on an event, such as rent commencement tied to a certificate of occupancy, stay marked unresolved until someone confirms the trigger.

Can it check estoppel certificates against the lease?

Yes. When a tenant returns an estoppel certificate for a sale or refinancing, the agent compares each statement, such as current rent, expiration date, deposit and any claimed defaults, against the abstract and the rent ledger. Differences are listed for the landlord's counsel or deal team to resolve before closing. It is built the same way as our other custom AI agents, with a person approving every output, and our real estate and property management page covers the rest of the operation.

What we build for landlords and asset managers

  • Abstraction agent

Leases, amendments, side letters and commencement date memos read into your abstract template, with a clause citation on every field.

  • Critical date calendar

Options, notices, expirations and tenant reporting deadlines across the portfolio in one schedule.

  • Recovery terms review

Common area maintenance, tax and insurance provisions laid out per tenant, so year-end reconciliations follow what each lease actually says.

  • Property management system sync

Approved abstracts and rent schedules written into Yardi Voyager, RealPage or your existing platform through its import tools or interface.

How an engagement works

  1. Agree the abstract template

We start from your current abstract form, or the fields your lenders and buyers require, and fix how each field is written.

  2. Abstract a sample set

Leases your team has already abstracted run through the agent so the two versions can be compared field by field.

  3. Work through the backlog

The rest of the portfolio is abstracted with a person reviewing each abstract before it is approved.

  4. Keep abstracts current

New leases and amendments are abstracted as they are signed, and we maintain the agent and the system sync.

Frequently asked questions

Does the abstract replace reading the lease?

No. It is a reference built for speed, and every field links to its clause so anyone with a question reads the exact language. Interpretation of ambiguous provisions stays with counsel.

Can it handle scanned leases from decades ago?

Yes. Older leases are read with optical character recognition, and handwritten changes in the margins are flagged for a person to confirm rather than guessed.

Does it work for retail, office and industrial leases?

Yes. Each property type gets its own fields: percentage rent, co-tenancy and radius restrictions for retail, operating expense base years for office, and maintenance and roof responsibilities for industrial.

Is it useful during an acquisition?

Yes. In due diligence the agent abstracts the seller's leases and compares them with the rent roll and returned estoppels, so discrepancies surface before closing rather than after.

Can tenants with many locations use it?

Yes. Companies that lease many sites use the same approach to track their own renewal windows, rent escalations and the operating expense charges landlords bill them.

What about residential portfolios?

Residential operators usually need something different, such as answering residents and scheduling maintenance, which our voice agents for property management handle.

Built for operators with real scale. Most engagements are scoped in the tens of thousands of dollars and up.
