Customer systems for home services platforms
Custom CRM for home services companies running more than one brand
Vantage Systems builds a custom CRM (Customer Relationship Management system) for home services companies that sits alongside ServiceTitan rather than replacing it, joining every acquired brand into one customer view. It works the revenue that dispatch software leaves on the table: unsold estimates, lapsing memberships and households one brand serves while a sister brand has never called them.
Key facts
- What it is
- A customer and sales layer across brands, fed by your field service management (FSM) software.
- Who it is for
- Heating, plumbing, electrical and other residential service groups, including private equity backed platforms.
- Connects to
- ServiceTitan or other FSM tenants, phones, text messaging, financing and marketing tools.
Why keep ServiceTitan and add a custom CRM next to it?
Because ServiceTitan is very good at jobs, dispatch, invoices and technicians, and ripping it out would stop the business for months. What it does not do well is give a platform of several brands, often on separate tenants, one view of the customer and one sales motion.
Our CRM reads customers, jobs, estimates and memberships from each tenant through its application programming interface (API) and writes nothing that would conflict with dispatch. Field teams keep the screens they know, while the call center, the sales team and leadership work from a combined picture.
How does it follow up on unsold estimates and memberships?
Every estimate presented but not sold becomes an opportunity with an owner, a follow-up date and a reason it stalled: price, financing, timing or a competing quote. Comfort advisors and in-home sales staff see their open estimates ranked by value and age, and managers see which ones nobody touched.
Memberships get the same treatment. The CRM tracks visits due, renewals coming up and members whose agreements lapsed, and routes each to a call center agent or an automatic text.
- Unsold estimates with stall reason and next action
- Membership renewals and overdue maintenance visits by brand
- Cross-brand offers, such as a plumbing customer with an aging furnace
- Booking and conversion by call center agent and by advisor
How does it handle brands that keep their own names?
Each brand keeps its name, phone numbers and voice with customers, and the CRM matches households across brands behind the scenes. A customer of the plumbing brand who calls the heating brand is recognized, without the brands merging in public.
Leadership can then see the whole platform in our home services dashboards, and owners planning more acquisitions will find the integration approach on our private equity page.

How an engagement works
Inventory brands and tenants
We list every brand, phone line, software tenant and customer list the platform has acquired.
Match households
We build the matching rules that join one household across brands and review edge cases with your team.
Ship the follow-up desks
Unsold estimate and membership queues go live first, released weekly to the call center and advisors.
Add each new acquisition
Newly acquired brands plug into the same CRM, and we maintain the integrations as tenants change.
Frequently asked questions
Does this replace ServiceTitan?
No. ServiceTitan stays the system for jobs, dispatch and invoicing. The CRM reads from it and handles the customer and sales work across brands that it was not designed for.
What if some brands use a different field service platform?
That is common after acquisitions. Each platform feeds the same CRM through its own connector, so a brand can move platforms later without losing its history.
Can it answer calls for us too?
It can work with a voice agent. Our AI (artificial intelligence) voice agents for heating and cooling companies book jobs and log every call into the same customer record.
Will technicians have to learn a new app?
No. Technicians stay in their field app. The CRM is for the call center, sales, marketing and management.
How do you avoid texting customers too often?
By applying one contact policy across brands. The CRM counts every message a household has received from any brand and holds back offers that would cross your limit or ignore an opt-out.
Where do we start?
Usually with unsold estimates in the largest brand, since that work is already sitting in your system. Read more about our custom CRM approach.
