Sales and renewal systems for agencies

Custom CRM for insurance agencies that sell, renew and round out accounts

Vantage Systems builds a custom CRM (Customer Relationship Management system) for independent insurance agencies that sits on top of the agency management system and runs the selling side: new business, renewals, cross-sell and producer books. It knows which carriers want which risks, which households carry only one line with you, and which renewals need remarketing before the expiration date arrives.

Key facts

What it is
A sales and retention layer for agencies, built around policies, lines and carriers.
Who it is for
Independent agencies and agency groups with several producers and account managers.
Connects to
Your agency management system, carrier portals, comparative raters, phones and email.

What does a custom CRM add on top of our agency management system?

It adds the pipeline your agency management system was never built to run. Systems like Applied Epic or HawkSoft hold policies, endorsements and accounting well, yet they rarely tell a producer which prospect's expiration date lands next month or which client should hear about umbrella coverage.

We sync policies, lines, premiums and expiration dates from that system every day, then build the selling workflow around them. Account managers keep servicing in the tool they know, and the CRM never becomes a second place to type a policy in.

How does it handle renewals and remarketing?

Every policy enters a renewal pipeline at a lead time you set for each line and size of account. The system flags rate increases, claims activity and coverage changes so an account manager decides early whether to renew as is or go back to market.

When remarketing is needed, the CRM suggests carriers from your appetite records and tracks each submission, quote and declination. Renewals stop being a calendar of surprises and become a queue worked in order.

  • Renewal stages from review to bound, per policy
  • Submission log by carrier with quote, decline or no response
  • Expiration dates captured on prospects, so lost quotes come back at the right time

How do producers find cross-sell and keep their books straight?

The CRM reads each account's lines and shows the gaps: auto without home, a business owner's policy without workers' compensation, a commercial client with no personal lines at the agency. Those gaps become tasks on the right producer's list, not a report nobody opens.

Producer books are first-class records, with book ownership, splits and transfers when a producer retires or leaves. Agencies taking calls at volume can pair this with an AI (artificial intelligence) voice agent for insurance agencies that logs every caller into the right account.

What we build for agencies

  • A renewal pipeline

Every expiring policy in a worked queue with remarket decisions and carrier submissions tracked.

  • A carrier appetite map

Which carriers write which classes, states and account sizes, kept current by your marketing team.

  • Cross-sell by line

Coverage gaps by household and business account, routed to the producer who owns the relationship.

  • Producer books

Book ownership, splits and transitions, with new business and retention visible per producer.

How an engagement works

  1. Read your book

We study a sample of accounts and policies in your agency system to see how lines and carriers are recorded.

  2. Set renewal and appetite rules

Your principals agree lead times by line and the carrier appetite fields worth maintaining.

  3. Build the sync and the screens

Daily sync from the agency system comes first, then producer and account manager screens, released weekly.

  4. Launch by team

Personal lines or commercial goes first, we fix what they find, then the rest of the agency moves over.

Frequently asked questions

Do we have to leave our agency management system?

No. It stays the policy system of record. The CRM reads from it and, where its interface allows, writes back activity notes so the account history stays complete.

Can it work across a group of acquired agencies?

Yes. Agencies on different management systems can feed one CRM, which gives the group a single view of renewals and cross-sell while each office keeps its own tools.

How is carrier appetite kept current?

By the people who already know it. Your marketing staff update appetite records as carriers change, and the CRM records which carriers quoted or declined each submission, so the map improves with use.

Can it help with claims follow-up?

Partly. The CRM can log claim notices against the account. Reading claim documents is a separate build, covered under our insurance claims agents.

Will producers actually use it?

They will if it hands them warm work. Producers adopt a CRM that tells them which renewal to call and which client lacks which line, and ignore one that only asks for data.

How long does a first phase take?

Usually a few months for the sync, the renewal pipeline and producer screens. The scope and price for that phase are fixed before we start, as described on our custom CRM page.

Built for operators with real scale. Most engagements are scoped in the tens of thousands of dollars and up.
