AI claims document processing for carriers and claims administrators

Vantage Systems builds artificial intelligence (AI) agents for claims document processing that read first notice of loss packets, adjuster notes, repair estimates and medical bills, then check each claim file against the coverage terms of the policy. The agent organizes and flags; the adjuster reviews every finding and makes every coverage and payment decision.

What does a claims document agent do with a new file?

It turns a pile of attachments into an indexed claim file. Photos, police reports, recorded statement transcripts, contractor estimates, invoices and medical billing forms are classified, dated and linked to the claimant and the loss. Date of loss, location, parties, vehicle or property details and amounts claimed are extracted and written to the claim record, each with a pointer to the page it came from.

Medical bills are treated strictly as billing documents: provider, dates of service, billed codes and amounts. The agent does not judge whether treatment was appropriate and does not assess injuries. Adjuster notes are read too, so open questions from the first contact carry forward instead of being rediscovered.

How does the coverage checklist work?

The agent reads the declarations page, forms and endorsements on the policy in force at the date of loss and builds a checklist for the adjuster. Is the loss inside the policy period, is the location or vehicle scheduled, which deductibles and sublimits apply, which exclusions or conditions might the facts touch. Each item is marked supported, contradicted or missing information, with citations to both the policy wording and the claim documents.

Nothing is denied or paid by the agent. It drafts the questions an adjuster would otherwise compile by hand, and the adjuster remains the decision maker on coverage, reserves and settlement. That boundary runs through all of our custom AI agents: software prepares, people decide.

What we build for claims teams

  • Intake classifier

Sorts every document arriving by email, portal upload or mail scan into the claim file, using optical character recognition (OCR) for scanned pages and legible handwriting.

  • Estimate and invoice comparison

Lines up the original estimate, each supplement and the final invoice so an adjuster sees exactly what changed between versions.

  • Coverage checklist

Policy terms matched against the facts of the loss, with every item cited to its source page.

  • Claims system sync

Extracted fields, document tags and diary notes written back to Guidewire ClaimCenter, Duck Creek or an in-house claims platform.

How an engagement works

  1. Pick one line of business

We begin with a single line, such as auto physical damage or commercial property, and study closed claims to see how your adjusters document a file.

  2. Build extraction and the checklist

Fields and coverage questions are agreed with senior adjusters, then tested on closed files where the correct answer is already known.

  3. Shadow live claims

The agent processes new claims beside your team, and adjusters correct its output in the screen they already work in.

  4. Add lines and maintain

More lines, forms and endorsements are added over time, and we update the agent when policy wording or claim procedures change.

Frequently asked questions

Does the agent approve or deny claims?

No. It prepares the file and the coverage checklist, and your adjuster makes every decision. The limit is built into the software itself: the agent has no permission to change reserves, issue payments or send coverage letters.

Can it handle medical bills on injury claims?

Yes, as documents. It extracts provider, dates of service, codes and charges and totals them by provider. Questions of medical necessity or treatment stay with adjusters, nurse reviewers or the outside experts you already use.

Does it work for third-party administrators?

Yes. A third-party administrator handling claims for several carriers can run one agent with a separate coverage library and permissions for each client program. More on how we work with insurers and claims administrators is on our industry page.

How does it deal with different policy wordings?

Each form and endorsement edition is loaded into a policy library, and the checklist is built from the edition actually attached to that policy. When a carrier files new wording, we add it before claims under it arrive.

Where are claim files stored?

In the region agreed with you, with access limited by role and every view of a claim file logged. Which adjusters, supervisors and outside vendors may open which files is decided with your claims leadership before the first file is loaded. Claim data is never used to train AI models.

Can agencies use this as well as carriers?

Agencies usually need help earlier in the process, taking first reports and answering policyholders around the clock. Our voice agents for insurance agencies handle that side and can hand a structured report to the carrier's claims intake.
