Project pipelines for solar sales and install

Custom CRM for solar companies, from first appointment to permission to operate

Vantage Systems builds a custom CRM (Customer Relationship Management system) for solar companies that carries each homeowner or business from lead to install and on to permission to operate, with every milestone and handoff in one record. Sales partners, designers, permit coordinators and install crews work the same project instead of passing spreadsheets between them.

Key facts

What it is
A sales and project system shaped around the solar milestone sequence.
Who it is for
Residential and commercial solar sellers, installers, and dealer networks that do both.
Connects to
Design tools, financing portals, e-signature, scheduling, accounting and utility portals where possible.

Why does a solar company need more than a sales CRM?

Because in solar, the sale is only the first of many milestones, and cash arrives at the later ones. A signed contract still has to clear a site survey, final design, financing approval, permitting, interconnection, installation, inspection and permission to operate before the job is truly done.

A sales tool goes quiet after the signature, which is exactly when cancellations and stalled projects begin. The system we build keeps each project moving and shows where it is waiting and on whom.

  • Site survey: roof condition, shading, main panel capacity and photos
  • Design: final layout and any change order the survey forced
  • Financing: cash, loan, lease or power purchase agreement, with approval status
  • Permitting: submitted, corrections requested, approved
  • Interconnection: utility application, approval and meter work
  • Install, inspection and permission to operate, each with its own date

How does it handle handoffs between sales partners and installers?

Every project names who sold it, who designs it and who installs it, whether those are your own teams or outside partners. Each party sees its own projects and the next step it owes, and nothing more.

When a survey finds a panel upgrade or a roof problem, the change order goes back to the seller and the homeowner with a clear reason, rather than surfacing at install. Inbound homeowner calls can be answered and logged by an AI (artificial intelligence) voice agent for solar companies, so status questions stop interrupting the permit desk.

What we build for solar companies

  • A milestone pipeline

Every project from appointment to permission to operate, with the days spent in each stage visible.

  • A partner portal

Sales partners and installers see their own projects, submit documents and get notified of changes.

  • Permit and interconnection tracking

Submissions, corrections and approvals by jurisdiction and utility, so slow offices are obvious.

  • Homeowner updates

Plain-language texts at each milestone, which cuts the calls that start with where is my system.

How an engagement works

  1. Trace a project end to end

We follow a handful of recent installs from appointment to permission to operate and note every wait.

  2. Define milestones and owners

Your operations lead signs off on each stage, the evidence that closes it and the team responsible.

  3. Build the pipeline and portal

Internal screens come first, then partner access, released every week for your coordinators to test.

  4. Migrate active projects

Open projects move over with their history, the old tracker is retired, and we keep maintaining the system.

Frequently asked questions

Can it track interconnection with different utilities?

Yes. Each utility can have its own steps and expected documents. Where a utility portal allows it we read status automatically; otherwise coordinators update it in one click.

Do our outside sales partners get access?

Yes, limited to their own projects. Partners can submit signed contracts and utility bills, see milestone status and receive change orders without seeing anyone else's pipeline.

Can it track financing milestones and funding?

Yes. Each financing product carries the milestones its provider uses, so finance can see which projects are ready to submit for the next funding release.

Does it cover monitoring after the system is running?

It can link to it. Production monitoring and fault prediction for operating sites are covered by our predictive maintenance for solar work, and the CRM keeps the customer and service history.

Is this only for residential solar?

No. Commercial projects follow similar milestones with longer engineering and utility review, and the stages can be configured per project type within one system.

Who builds it?

The people on your first call, led by founder Mohamed El Askary, write the code and stay on to run it. More about the firm is on our about page.

Built for operators with real scale. Most engagements are scoped in the tens of thousands of dollars and up.
